PFA Leadership

Our Parent Faculty Association (PFA) is led by a dedicated group of volunteers. You do not need to be a Corral Hollow Elementary School parent to serve in a leadership role, but you do need to be a PFA Member. Most of all, you need to have a heart to serve our children and the desire to make Corral Hollow Elementary School the best school around!

Executive Board Position Descriptions

The Nominating Committee solicits applications for these positions and nominates a slate for vote by the General Membership at the March General Meeting.


President

  • Facilitates the creation of a caring community of parent volunteers and ensures support to teachers/staff.
  • Confers with the Principal and Executive Committee regarding the school community’s wants/needs, plans for the year, and progress toward goals.
  • Oversees and provides guidance to the other Executive Committee members and committee chairs.
  • Oversees implementation of the budget.
  • Presides over PFA Membership meetings and Executive Board meetings.
  • Attends PFA council meetings when possible.
  • Files his/her signature at the bank containing PFA funds upon taking office.
  • Co-signs or approves all letters and/or communications.
  • Collaborates with the Principal or Principal’s designee to add PFA-sponsored events to the school calendar.
  • Acts as an official representative of the school PFA.
  • Responsible for the accuracy of PFA information and compliance with PFA Bylaws and Standing Rules.
  • Cooperates with the Incoming PFA President and Board after election to ensure a smooth transition.

Vice President

  • Responsible for the planning and execution of school programs, assemblies, and workshops that will enhance the educational experience of students.
  • Coordinates with the principal, teachers, staff, and Executive Board to develop a program schedule and calendar to be included in the school calendar.
  • Coordinates program locations and reserves space.
  • Applies for PFA awards related to programs.
  • Attends all Executive Board Meetings and General Membership Meetings.
  • Presents a report at meetings to summarize program efforts.
  • Coordinates/prepares the advertising/communications concerning program efforts.

Vice President of Fundraising

  • Acts as the point person for all PFA fundraisers.
  • Evaluates fundraising events throughout the year and determines the effectiveness of fundraising efforts.
  • Oversees and provides guidance to the committee chairs involved in fundraising efforts.
  • Applies for PFA awards related to fundraising.
  • Attends all Executive Board Meetings and General Membership Meetings.
  • Presents a report at meetings to summarize fundraising efforts.
  • Coordinates/prepares the advertising/communications concerning fundraising efforts.

Vice President of Communications

  • Responsible for overseeing and managing the PFA’s communication strategy to ensure timely and effective dissemination of information to the school community.
  • Manages the PFA’s presence on social media platforms (e.g., Facebook, Instagram, Twitter) by creating, scheduling, and monitoring posts.
  • Coordinates with committee chairs to promote events, fundraisers, and school programs through social media, newsletters, and other communication channels.
  • Maintains and updates the PFA website with current information, events, and announcements.
  • Collaborates with the Corresponding Secretary to ensure consistency and alignment in all PFA communications.
  • Drafts and approves PFA communications such as newsletters, flyers, and email blasts, ensuring they reflect the PFA's mission and goals.
  • Monitors and responds to questions or comments on social media platforms and through PFA email.
  • Applies for PFA awards related to communication and social media.
  • Attends all Executive Board Meetings and General Membership Meetings to provide updates on communications and social media activities.
  • Presents a report (if needed) at meetings summarizing communication efforts and social media engagement.

Treasurer

  • Controls all funds of the PFA by accounting for all receipts and expenditures.
  • Makes disbursements as authorized by the president, Executive Board, or General Membership.
  • Prepares the PFA budget for review and approval by members at the first general meeting in cooperation with the Executive Board and budget committee if applicable.
  • Prepares and submits all tax-related documents.
  • Files his/her signature at the bank containing PFA funds upon taking office.
  • Instructs Executive Board members on the expense process.
  • Ensures that expenditures are approved before being incurred.
  • Ensures all treasurer reports and financial statements are prepared for the Audit Committee by July 15th each year.
  • Issues reminders to cash outstanding checks within 30 days.
  • Applies for PFA awards related to treasury.
  • Attends all Executive Board Meetings and General Membership Meetings.
  • Presents a Financial Report at all meetings.

Recording Secretary

  • Prepares and distributes the meeting agendas with the President.
  • Prepares and distributes the meeting minutes.
  • Tracks attendance at Executive Board Meetings and General Membership Meetings.
  • Prepares rooms for meetings.
  • Maintains records of sign-in sheets, agendas, minutes, bylaws, and standing rules.
  • Provides ballots for all elections.
  • Prepares presentations for meetings.
  • Presents Standing Rules and Procedures annually and prepares revisions as discussed by the Executive Board.
  • Applies for PFA awards related to secretarial duties.
  • Attends all Executive Board Meetings and General Membership Meetings.

Committee Chairperson Positions eta

Committee Chairpersons are appointed by the elected Executive Board. The Nominating Committee cannot nominate chairpersons, but would like to collect names of interested PFA members in order to help the new Board fill these positions.


Bike to School Day & Walk to School Day

  • Works closely with the VP Programs to promote National Walk and Bike to School Days.
  • Coordinates snacks, water, and/or incentives for participants on each of those days.

Book Fair

  • Works closely with the Media Specialist and Volunteer Chair during the Fall and Spring Book Fairs.
  • Each Book Fair runs for approximately 7 school days.

Boosterthon "FUN RUN"

  • Works closely with the VP of Fundraising and Boosterthon staff.
  • Boosterthon is typically 10 to 14 days long.

Bulletin Board/Decoration

  • Decorates the PFA bulletin board to reflect the various themes, programs, or activities during the year.
  • Works closely with VPs of Programs and Fundraising to put up and take down posters and other decor for events.

Carnival

  • Works closely with the Executive Board to coordinate all aspects of the Carnival, including several sub-committees.

Corresponding Secretary

  • Responsible for dissemination of information to the general membership and the community.
  • Prepares email blasts, maintains the Facebook page, and updates the Website.
  • Maintains the PFA website and PFA email addresses.
  • Acts as Executive Board liaison with the technology chairperson.
  • Applies for PFA awards related to communication.
  • Attends all Executive Board Meetings and General Membership Meetings.
  • Presents a report (if needed) at meetings to summarize communication efforts.
  • Prepares communications on behalf of the PFA and Executive Board.

Holiday Shop

  • Works closely with the VP Fundraising and Holiday Shoppe staff.
  • Holiday Shoppe typically lasts 7 school days.

Literacy Night

  • Works closely with the VP Programs and Media Specialist to prepare literacy-based activities for Literacy Night.

Membership

  • Responsible for the recruitment of new and renewing PFA members and distribution of membership cards.
  • Reports membership statistics to PFA governing groups.
  • Ensures that applicable dues/fees are paid.
  • Maintains a current list of members including dues paid and contact information.
  • Applies for PFA awards related to membership.
  • Attends all Executive Board Meetings and General Membership Meetings.
  • Presents a report at meetings to summarize membership efforts.
  • Coordinates/prepares the advertising/communications concerning membership efforts.

Teacher Appreciation

  • Coordinates appreciation events for our faculty and staff three to four times each year, including:
    • Back to School Breakfast (August)
    • Pies and Cider (November)
    • Holiday Luncheon (December)
    • Teacher Appreciation Week (May).

Volunteer

  • Serves as the primary coordinator to fill PFA volunteer needs.
  • Creates volunteer sign-ups for events/activities.
  • Coordinates volunteer recruitment.
  • Maintains a database of volunteers.
  • Works with school staff as needed to ensure volunteers are ADDitions approved.
  • Compiles and maintains information on the number of hours worked by volunteers.
  • Coordinates/prepares the advertising/communications concerning volunteer efforts.

Color Run
